    Job Description

    What You'll Do

    • Service Coordination and Documentation Management: Handle and keep detailed records of service requests, quotations, purchase orders, and related documentation. Ensure all service cases in Salesforce are updated promptly, including case assignments, closure notes, and records of blocking issues. Coordinate with suppliers and vendors regarding orders, deliveries, and logistics documentation. Support preparation, distribution, and control of services and operational correspondence, ensuring files are accessible and accurate both digitally and physically.
    • Inventory, Procurement, and Asset Management: Supervise and control service inventory, tools, and materials to maintain adequate stock levels and ensure replenishment as needed. Carry out scheduled cycle counts and supply to inventory audits. Organize shipment and import documentation, such as PAGCOR forms, commercial invoices, and packing lists. Process returns of materials and keep accurate entries in the relevant registers.
    • Travel, Expense, and Event Support: Support the arrangement of business travel, preparation of travel plans, and processing of travel expense claims. Help coordinate internal gatherings, training events, and organizational activities, ensuring all logistical and administrative needs are satisfied. Maintain accurate records of training and certifications for both internal employees and clients.
    • Systems and Data Maintenance: Keep databases and directories like Salesforce, D365, and SharePoint current and accurate to guarantee accessible information. Assist with data entry, reporting, and oversight to preserve data integrity within CRM, ERP, and other tracking systems.
    • Reporting and Compliance Support: Assist in collecting and validating service performance data, inventory status, and operational metrics for weekly and monthly reporting. Support alignment with internal processes, audit requirements, and regulatory documentation standards. Participate in the preparation and submission of reports for operational and service compliance.
    • Process Improvement and SOP Support: Participate in reviewing and updating standard operating procedures (SOPs). Provide feedback and recommendations to improve efficiency within service and operational workflows. Support the maintenance of knowledge bases, process documentation, and shared repositories across the organization.
    • Cross-Functional Teamwork: Offer clerical and organizational support across departments to guarantee flawless implementation of service and operations projects. Work closely with colleagues and management to address challenges and assist with daily operational priorities.
    • Administrative and Office Support: Offer general administrative support to the Service and Support team, including scheduling meetings, managing correspondence, handling reservations, and coordinating logistics. Handle incoming service calls, emails, and inquiries authoritatively, ensuring timely and accurate follow-up or referral to relevant departments. Maintain a clean, organized, and professional working environment in accordance with company standards.

    What We're Looking For

    • Bachelor’s degree in Business Administration, Management, or a related field preferred.
    • Minimum 1+ years of experience in administrative, operational, or customer support roles.
    • Proficient in English, both written and verbal.
    • Consistent record to organize, prioritize, and handle multiple tasks efficiently in a fast-paced environment.
    • Strong sense of responsibility, follow-through, and attention to detail.
    • Proven initiative, adaptability, and problem-solving capability.
    • Effective interpersonal and communication skills, capable of working collaboratively across departments and regions.

    Technical Skills:

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Proven understanding of D365, Salesforce, and SharePoint is an advantage.
    • Familiarity with document control and basic data entry systems preferred.
