What you will do:
Office Operations & Workplace Management
- Act as the primary point of contact for all office related requirements and queries.
- Ensure the office operates smoothly by overseeing general maintenance, cleanliness, and organisation across all levels.
- Liaise with building management, cleaners, suppliers, vendors, and contractors to address maintenance issues, feedback, and service requirements.
- Coordinate with the IT department to ensure office equipment and technology are operational and meet team needs.
- Manage office equipment and general facilities-related administration.
- Ensure accountability across teams for general office upkeep.
- Own the office food and drinks stock process, including purchasing, receipt reconciliation, managing deliveries, and restocking snack shelves, fridges, and break areas.
- Support the ongoing expansion of the office by proactively planning for increased headcount and evolving workplace requirements.
Administrative & Operational Support
- Manage office deliveries, including receiving and sending packages and mail.
- Support onboarding and offboarding processes to ensure timely and efficient setup of technology, access, and resources.
- Coordinate and run inductions for new starters based in the Sydney office.
- Collate and distribute new employee welcome packs.
- Assist with general administration as required.
- Manage office orientation processes for new employees.
- Manage weekly office activities including administration and follow up tasks.
- Assist with booking travel and manage associated requirements for employees as needed.
Events, Engagement & Culture
- Assist with the setup and pack down of in-office events.
- Organise and deliver team events including all hands meetings, team lunches, meetups, team building activities, ad hoc celebrations, and the H1/H2 parties.
- Arrange catering, reservations, and logistics for meetings and events.
- Support company meetings and internal events to ensure smooth execution.
What you will bring:
- Minimum of 2 years experience in an administrative, office support, or workplace coordination role.
- Knowledge of office management systems, procedures, and general facilities operations.
Strong written and verbal communication skills with the ability to interact effectively with a wide range of stakeholders. - Proven ability to manage multiple tasks, priorities, and deadlines in a dynamic environment.
Bonus points if you also have:
- Experience working in a fast paced or high growth company environment.
- Familiarity with IT infrastructure, office technology, and equipment.
- Experience supporting office expansions, events, or workplace projects.
